PDF Template Designer Needed (1–2 page episode companion PDFs) — VELA Own Your Education App

Upwork

VELA is creating a new content series for our app: Getting Started: VELA Families Kit — a clear, confidence-building introduction to indie private education and how families can find the right path for their child.

The kit includes 13 short audio episodes, and each episode will have an accompanying 1–2 page PDF with takeaways + action items. We need a designer to create a clean, consistent, easy-to-duplicate PDF template that our team can quickly “fill in” for each episode.

This is a template/system design project (not 13 fully designed PDFs), though we may add a follow-on project for production if it’s a great fit.

Scope of Work (Primary Deliverable)

Create a master PDF template that can be duplicated across 13 episodes with only text swapping.

The template must include these required sections:

  • Series label: Getting Started: VELA Families Kit
  • Episode title + episode number marker
  • “In One Sentence” summary
  • Key Takeaways (3 max)
  • Action Items (checkbox list, 3–5 items)
  • Optional: Reflection prompt (with space to write)
  • Optional: Quick Definitions box (1–3 terms)
  • “Next Episode” teaser
  • Footer with VELA branding + short supportive line

Format

  • 1 page ideal; template must support a 2-page version when needed
  • Must be mobile readable and print-friendly (black & white)
  • Must be highly legible, scan-friendly, and accessible (contrast + font sizes)

What We’ll Provide

  • VELA logo + brand assets (colors, typography, guidance)
  • A filled-in sample of one episode’s content (so you can see typical text length)
  • Final section list + structure (locked)

Deliverables

  • Master template file (editable) — preferred format: Canva
  • Exported PDF template (ready for production use)
  • A short “how to use” note for our team (how to duplicate + swap text without breaking formatting)

Bonus (nice to have)

  • a second-page layout add-on
  • a mini component library (header styles, callout boxes, checklist style, etc.)

Timeline

We’re on a fast schedule. We need

  • First draft within 3 business days
  • Final template within 5 business days (after one round of feedback)

Style Direction

  • Clean, calm, modern
  • Friendly but not juvenile
  • Lots of whitespace, strong hierarchy
  • Minimal use of color (must work in grayscale)
  • Simple icons (optional), consistent across the kit

Think: “a parent can glance at this and instantly know what matters + what to do next.”

Ideal Designer

You’re a strong fit if you

  • design templates/systems (not just one-off pages)
  • have excellent typography + hierarchy instincts
  • can create print-ready PDFs that also look great on mobile
  • deliver clean editable files and can handle quick iterations
  • are comfortable working with brand assets and light guidance
